Maple Leaf Psychology & Allied Health is a thriving private practice in South Morang, home to a compassionate team of Psychologists and Mental Health Social Workers who work with clients across the lifespan. As we continue to grow, we’re looking for a superstar Administrator to become the heart of our front desk. This is more than just a reception role—it’s an opportunity to make the role your own, bring your ideas to life, and grow with us as the practice evolves. Successful candidate(s) will be required to undertake at Police Check.

What You’ll Be Doing:

  • Serving as the warm and professional first point of contact for our clients

  • Responding to phone calls, emails, and enquiries with clarity, care, and professionalism

  • Take and forward phone and email messages to appropriate team members

  • Scheduling appointments, managing waitlists, and coordinating new client intakes — including matching clients with the right clinician and sending intake forms

  • Ensuring referral details are accurately recorded and kept up to date

  • Processing payments, lodging Medicare claims, and maintaining accurate financial and administrative records

  • Creating and maintaining a calm, welcoming, and organised clinic environment

  • Taking initiative to support day-to-day operations and ensure the smooth running of the practice

  • Contributing to the ongoing development of systems and processes as the practice continues to grow

  • Applying your initiative and problem-solving skills to support both clients and the team

About You:

  • You bring solid reception or administrative experience, ideally from a health or mental health setting

  • You’re confident using systems and tech tools, include Microsoft and cloud-based applications — experience with our practice management software, Halaxy, is a bonus

  • You’re highly organised, love ticking off a to-do list, and thrive in keeping things running smoothly

  • You stay calm under pressure and bring a clear, compassionate communication style to every interaction

  • You have strong interpersonal skills and can navigate sensitive or emotionally charged situations with care and professionalism

  • You have a thorough understanding of ethical conduct in a health setting e.g. maintaining confidentiality

  • You’re proactive, independent, and take pride in doing your work thoroughly and thoughtfully

  • You’re a self-starter who enjoys taking ownership while also being a reliable, collaborative team member

  • You’re excited by the opportunity to grow with the role and shape how it evolves as the practice continues to develop

  • You have a current Working with Children Check
